Job Description

We are seeking an experienced and results-driven Chief Operating Officer (COO) to work closely with the owner to oversee and streamline the administrative and business operations of a fast-growing professional services firm. The ideal candidate will bring a wealth of experience, ideally in roles such as VP of Operations, COO, or Professional Legal Administrator (PLA), and a proven track record in managing day-to-day operations, systems implementation, and driving business growth.

About the Role
As the COO, you will be a key leader in shaping the strategic direction and ensuring the successful execution of business operations. You will be responsible for overseeing all facets of administration, personnel management, finances, facilities, and business systems. Your work will directly support the owner and collaborate with key staff to enhance decision-making, solve challenges, and refine strategies.

You'll work as a strategic partner with senior leadership, leading initiatives that ensure smooth operations, efficient workflows, and alignment with the company's vision. We need a leader with the ability to manage a multi-million-dollar budget (up to $7.5M) and lead a team of at least 30, with the authority to hire and terminate employees as necessary. Your efforts will directly contribute to the growth and sustainability of the business.

Key Responsibilities

Lead the execution of the firm's business plan, focusing on achieving quarterly revenue and profitability goals.
Collaborate with the owner to design and implement business strategies, plans, and procedures.
Analyze performance through data and metrics to guide business decisions.
Supervise and manage non-lawyer support staff and third-party vendors.
Oversee recruitment, hiring, onboarding, and performance management, including payroll and benefits administration.
Ensure business policies and procedures are documented, organized, deployed, and regularly audited for compliance.
Oversee financial operations, including budgeting, financial reporting, and accounting practices.
Manage a remote team efficiently using best practices for communication, workflow, and productivity.
Ensure all digital systems are running smoothly and accessible to the entire team.
Conduct regular risk assessments to mitigate potential business risks.
Manage projects by developing strategic plans and leveraging team members to meet set timelines.
Foster a positive professional culture through effective leadership, promoting retention of high-performing staff, and recruiting top talent.
Qualifications

Bachelor's degree in management, business, human resources, or a related field.
Prior experience managing a professional services firm or a division/department with a budget of at least $7.5 million (experience in law firms is beneficial but not required).
SHRM or HRCI certifications are a plus.
Proven success in:
Managing teams of 30+ people with full autonomy in staffing decisions.
Designing, monitoring, and managing a $7.5M+ budget.
Thriving in a high-growth, entrepreneurial environment.
Advising senior leadership in decision-making and strategy development.
Executing, monitoring, and achieving business plans and goals.
Using financial reports to monitor and drive business performance.
Implementing leadership best practices.
Managing diverse projects effectively and efficiently.
Recruiting, developing, and retaining top talent, ensuring compliance with HR regulations and minimizing risks.
Compensation:

Competitive salary of $150,000 per year.
