We are looking for an executive assistant to work directly with our CRO. Responsibilities will include high-level administrative duties such as making travel arrangements, managing and vetting correspondence, managing the CRO's schedule, assisting him with personal and business logistics, communicating on his behalf, as well as taking notes, and managing action items. You get to work with other fun, hardworking, and creative people who are passionate about growing the business to make marketing magic happen for more and more clients (all while adding awards and trophies to your bookshelf).

A successful person in this job is someone who enjoys independence and autonomy. This job will require taking action without guidance, and close follow-up or supervision of the results by the CRO. The work focuses aggressively on goals and sticking to those goals even in the face of adversity and requires someone who is a high-level, strategic thinker, and creative problem solver. Persistence and determination as well as an eye for detail are foundational to working with our CRO. Constant changes and challenges require that these decisions be made often without precedence or an abundance of information.

Self-confidence and strong personal resolve are necessary to keep constant forward progress. The job requires a keenly task-focused individual to analyze situations, instructions, and problems. Different challenges will arise daily. Success depends on examining the problem, putting together seemingly disparate elements, and arriving at quick solutions. To be successful in this position you will need to speak frankly and directly, not “holding back” or mincing words. Achieving results is critical. This job requires a proactive nature and a strong individualistic drive.

Executive Assistant responsibilities are:

  • Help manage communication and information flow between the CRO and other executives, managers, team leads, production team members, vendors, clients, and people in the business community
  • Manage information for internal and external communication including Slack messages, emails, presentations, reports, etc
  • Help the CRO arrange his daily schedule, setting up meetings, travel, client calls and ensuring they stay on point throughout the day
  • Interact with and manage various vendors/clients on the CRO's behalf
  • Perform office management operations including keeping up with office supplies, managing receipts and expenses for the CRO, and managing phone calls
  • Manage various other personal and professional projects and tasks as needed and assigned by the CRO
  • To learn Beacon systems, culture, values, and standard operating procedures to better anticipate the needs of the CRO
  • Take notes and minutes at various meetings, including ones with sensitive information, and distribute action items to appropriate people
  • Help the CRO accomplish tasks and initiatives key to the growth of Beacon by assisting and holding him accountable to action items and schedules
  • Managing communication with clients and prospects
  • Preparing sales materials, and ensuring the smooth operation of the team by following company guidelines and procedures
  • Updating systems with client information and tracking progress through our CRM Hubspot - familiarity with Hubspot a plus but not required

Executive Assistant requirements are:

  • 3+ years' experience working in an Executive Assistant or Senior Personal Assistant position
  • Extensive experience with various office and administration systems
  • Being technology-focused and comfortable with learning new tech at a rapid pace is a must
  • Ability to work independently and proactively and be comfortable switching from activity to activity rapidly
  • Outstanding MS Office knowledge and English proficiency
  • Strong organizational and time management skills and must be comfortable making decisions without a lot of detailed input from others
  • Strong verbal and written communications skills and with a direct and to the point; “telling” rather than “selling” style.
  • Ability to speak frankly and honestly, even about unpopular decisions
  • Confidentiality and discretion is a must
  • Being excited about tackling complex analytical problems, troubleshooting issues and arriving at solutions
  • Current driver's license and car insurance
  • Knowledge of digital marketing principles and editing skills are not required but are a bonus
  • Locations:

    We have offices in Anchorage, AK (our HQ) and Reno, NV. We are hiring only in the Reno and Alaska and surrounding areas for this position.

    Benefits & Wages:

    We offer quarterly profit sharing, flexible work hours, Flex Fridays, unlimited PTO, 401k plans with employer matching, as well as medical, vision, and dental insurance. This job pays between $55,000-$60,000 per year DOE plus benefits.
