Position: Administrative Assistant

Key Responsibilities:

  • Sample & Marketing Asset Management – Oversees the sample department, maintaining inventory, organizing materials, and ensuring timely distribution. Manages marketing assets to support sales and design initiatives.
  • Payment Processing – Handles payment transactions, ensuring accuracy, timely processing, and proper documentation for financial records.
  • Order Entry & Filing – Accurately processes and tracks orders, maintains organized records, and ensures all documentation is up to date and easily accessible.
  • Client-Facing Communication – Serves as a key point of contact for clients, providing updates, addressing inquiries, and ensuring a professional and positive customer experience.

Qualifications:

Education & Experience:

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Previous administrative experience, preferably in a design, project management, or sales environment.

Technical Skills:

  • Proficiency in Microsoft Office and Google Suite (Word, Excel, Google Drive).
  • Basic knowledge of payment processing systems and financial record-keeping.

Organizational & Administrative Abilities:

  • Strong attention to detail with excellent data entry and file management skills.
  • Ability to prioritize tasks, manage multiple projects, and meet deadlines in a fast-paced environment.

Communication & Interpersonal Skills:

  • Excellent written and verbal communication skills for client and vendor interactions.
  • Strong customer service mindset with a professional and friendly demeanor.

Problem-Solving & Adaptability:

  • Ability to troubleshoot order discrepancies, resolve issues efficiently, and adapt to changing priorities.
