Job Summary:

The  Clerical Accounts Payable (AP) Clerk is responsible for processing invoices, managing vendor payments, and maintaining accurate financial records in support of the company’s aviation maintenance operations. This role requires strong attention to detail, organizational skills, and an ability to work efficiently in a fast-paced environment.

Key Responsibilities:

✅  Accounts Payable Processing

• Receive, review, and process vendor invoices for aviation maintenance parts, services, and supplies.
• Match invoices with purchase orders and receipts to ensure accuracy.
• Verify invoice coding and approvals before processing payments.
• Enter invoices into the accounting system and prepare payment batches.

✅  Vendor Management

• Maintain up-to-date vendor records and ensure compliance with company policies.
• Communicate with vendors regarding invoice discrepancies, payment status, and account updates.
• Assist in setting up new vendors and obtaining required documentation (W-9s, tax forms, etc.).

✅  Financial Reconciliation & Reporting

• Assist in reconciling AP accounts and resolving discrepancies.
• Prepare and maintain AP reports, aging schedules, and other financial documentation.
• Support month-end and year-end closing processes by ensuring all payables are recorded accurately.

✅  Clerical & Administrative Duties

• Maintain organized filing systems for invoices, payment records, and vendor correspondence.
• Answer phone calls and emails related to AP inquiries.
• Assist in auditing and compliance documentation related to aviation maintenance expenditures.
• Support the accounting team with additional clerical tasks as needed.

Qualifications & Skills:

• Experience: 1-3 years of accounts payable or clerical accounting experience (aviation industry experience preferred).
• Education: High school diploma or equivalent (Associate’s degree or accounting coursework is a plus).
• Software Skills: Proficiency in Microsoft Office (Excel, Word, Outlook,Teams) and accounting software (e.g., QuickBooks, NetSuite, SAP, or similar).
• Detail-Oriented: Strong attention to detail and accuracy in data entry and financial records.
• Organizational Skills: Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
• Communication: Strong verbal and written communication skills.
• Problem-Solving: Ability to investigate and resolve invoice discrepancies and payment issues.

Preferred Qualifications:

• Experience in an aviation maintenance, MRO (Maintenance, Repair, and Overhaul), or corporate aviation company.
• Knowledge of aviation parts and services procurement.
• Familiarity with FAA regulatory requirements related to aviation maintenance expenses.
